What can I do here?
Manage email addresses and domains from which faxes may be sent.
Fields
- Email-to-fax account: select the email-to-fax account to which this email address should be linked.
- Email address: enter your email address that you use to send faxes, for example myname@mycompany.com. It is also possible to provide a so-called wildcard email address, for example *@mycompany.com. This is subject to conditions; see the "Wildcard email addresses" section below. When you do this, an additional field becomes visible:
- Send activation email to: this field is only visible if you have entered a wildcard email address in the email address field. An email will be sent to the address entered here, containing a link that can be used to activate the wildcard email address.
- Include body: in addition to sending attached PDFs as a fax, it is also possible to fax the email message itself. If this field is checked, the email message will be placed before any attached PDFs and merged into one fax message. If you don't attach any PDFs, the fax message will be identical to the email message. Any formatting and embedded images will also be included.
- Send validated: Fax messages can be sent validated or unvalidated. This field indicates whether faxes should be sent validated from this email address or not. This means the following:
- Unvalidated:
- Henk with email address henk@gmail.com sends an email to fax@versturen.nu **# the fax is sent.
- Validated:
- Henk with henk@gmail.com sends an email to fax@versturen.nu
- the system sends an email to henk@gmail.com with a link and asking if he really wants to send a fax
- Henk opens his email and clicks on the link
- the fax is sent.
We recommend you use validated faxing. It's an extra step, but it's the safest way to send faxes via email.
Wildcard email addresses / Domains
Adding a domain
If everyone in your organization should be able to use email2fax, it's convenient to link your organization's email domain to the email2fax account, instead of adding all email addresses individually. This is possible by using a * when adding an email address, such as *@mycompany.com. This is a wildcard email address. We now call this a domain. Anyone who has an email address ending with @mycompany.com can then use email2fax.
Validation via email
When you add a domain, you must provide an email address to which an email will be sent containing a link to activate the wildcard email address. After clicking on this link, we're not done yet! The domain also needs to be approved by a system administrator. This system administrator receives an email when you have clicked on the activation link. Once the system administrator has approved the domain, you can see in the list of email addresses that the domain is activated. From that moment on, you can send faxes from that domain.
Prohibited domains
A number of domains are 'prohibited', for example *@gmail.com and *@hotmail.com (a regular gmail or hotmail address is of course allowed, but not a wildcard email address!). These domains can be used by anyone, including outside your organization. Others could then send faxes at your expense, and this must be prevented. This is also the reason that a domain must first be approved by a system administrator before the domain is activated.
